Emergency and Back-up Child Care

Whether it's a child who is sick, or a provider who is unavailable (due to illness or vacation), emergency child care situations can be frustrating and difficult to deal with. Stanford University recognizes these concerns and has initiated an Emergency and Back-Up Child Care Program that is administered through FamilyCare, Inc. and the WorkLife Office.

FamilyCare, Inc. is pleased to offer this service to all eligible faculty and staff. This program is designed to address your emergency child care needs by offering the following services:

Emergency and Back-Up Child Care Program
If your regular caregiver is ill or on vacation, or if your child is mildly ill, FamilyCare will refer you to selected in-home agencies, centers and family daycare homes that provide back-up child care. This program can be used for infants through school age children.


Subsidy Program

Stanford University will provide a subsidy program to reimburse the cost of emergency care. This will be administered through a third party administrator. The subsidy includes a reimbursement of up to 80% of the cost of back-up care (up to a maximum of $10 per hour). Also, a maximum of 16 hours per faculty/staff per year can be reimbursed under this program. Reimbursement can be used for agency fees or toward the cost of care and is considered taxable income.


How the Program Works

  1. Call FamilyCare at 800-777-3319 to obtain confirmation of eligibility. If eligible, you will be connected with a referral specialist who will help you throughout the process.

  2. Describe your needs for emergency back-up care. Your referral specialist will provide you with in-home agencies which have been prescreened and identified to meet your needs. In cases where in-home care is not available or desirable, your referral specialist will provide you with alternative back-up resources that may include centers or family daycare homes.

  3. A maximum of $10 per hour and 16 hours per year can be reimbursed under this subsidy program, up to a maximum of $160 per faculty/staff member. This can be used for agency fees or toward the hourly cost of emergency back-up care. This reimbursement is considered taxable income and will be reflected on your W2.

  4. If a subsidy reimbursement is desired, participants are asked to submit a claim form. Detailed instructions are listed on the form, and a receipt from the provider must be attached. Claim forms can be obtained either through the WorkLife Office or FamilyCare. Upon receipt, a subsidy of 80% of the back-up care cost will be paid directly to you. The normal time for processing is 2 weeks.


Frequently Asked Questions

Who can use this service?
All faculty and staff who are eligible for employee benefits are eligible for the emergency/back-up program.

Can I call for backup referrals even if I have used up my subsidy allowance?
Yes, you can utilize the emergency/back-up program as often as needed.

Am I guaranteed a provider regardless of when I call?
FamilyCare will make every effort to find resources that meet your needs. We do not make endorsements of specific providers. In addition, we encourage parents to check provider references.

What price range can I expect to pay for back-up care?
For in-home care, prices range from $10 to $15 per hour. Back-up care in a center or family day care home will run between $5 and $8 per hour. Fees need to be paid to the provider up front. You will be reimbursed once your claim has been processed.

Are there restrictions to using the subsidy program?
Yes, faculty/staff are allowed a maximum of 16 hours per year up to $10 per hour. This maximum of $160 dollars per year can be used for agency fees or toward the cost of care. It is considered taxable income and will be reflected on your W2. There is also a 4 hour minimum for using an in-home provider.

Can I use the program if my child's daycare is closed on a day I need to work?
Yes, we will provide you with alternatives based on your needs. This includes back-up options for weekday, evening and weekend care for children from birth to age 12. This is subject to provider availability, however.
